Payment Policy
Effective Date: October 2026. Standard protocol governing commercial transactions, billing frameworks, accepted payment channels, tax compliance, and payment settlement.
01 · What is a Payment Policy?
A payment policy specifies the formal rules for commercial transactions, accepted payment methods, milestone invoicing stages, and tax compliance across domestic and international accounts.
02 · The Docdril Stand
All commercial work operates exclusively on verified, funded pipelines. We provide direct team-authorized transactions (PCI-DSS Level 1 Stripe, Razorpay, SWIFT), zero hidden transaction fees, itemized institutional tax invoices, and clear grace periods.
Accepted Payment Methods & Processing Security
Docdril supports secure online transactions through tier-1 payment gateways including Stripe and Razorpay. Accepted instruments include major credit and debit cards (Visa, Mastercard, American Express), Apple Pay, Google Pay, UPI, and authorized Net Banking channels.
All digital transactions are encrypted via bank-grade 256-bit SSL technology and executed directly through PCI-DSS Level 1 certified processors. Docdril does not collect, log, or store sensitive credit card numbers or raw payment credentials on our servers.
Team-Authorized Channels & Bespoke Instructions
In addition to standard automated web checkouts, Docdril maintains the sole discretion and authority to communicate and authorize custom, direct, or alternative payment channels. These may include, without limitation, direct corporate bank wires (SWIFT / ACH), dedicated international clearing coordinates, custom secure checkout links, escrow partners, regional partner nodes, or corporate account remittance details.
Such payment methods may be directly communicated, designated, or updated by the authorized Docdril core team through official communication channels (including emails originating from @docdril.com, verified executive accounts, or signed engagement contracts).
Any payment method, banking destination, or transaction link officially authorized and communicated by Docdril shall be deemed fully valid, legally binding, and recognized with the exact same service delivery commitments, professional warranty, deliverables timeline, and contractual weight as public automated checkouts. Clients are responsible for ensuring they remit funds exclusively to coordinates officially provided by the verified Docdril team.
Billing Cycles & Advance Commitment Models
To reserve dedicated engineering capacity, video editors, and design architects, our commercial models operate on structured upfront billing:
- Sprint Subscriptions & Monthly Retainers: Invoiced and collected in advance of the sprint start date or monthly billing cycle. Work begins immediately upon confirmed settlement.
- Managed Cloud Hosting Subscriptions: Invoiced and collected in advance on a recurring monthly or annual schedule (with 2 complimentary months provided on annual commitments). Covers turnkey cloud compute, daily automated snapshots, SSL provisioning, and 99.9% uptime SLA. Hosting plans can be canceled anytime prior to the upcoming renewal cycle with zero exit penalty and full database export rights.
- Milestone & Fixed-Scope Projects: Standard projects require an initial deposit (typically 30% to 50% advance for new clients; 15% to 40% for established partners) prior to project kickoff, with subsequent milestone tranches released upon documented milestone delivery.
- Final Balance Release: Production deployment, final source repositories, design Figma source files, and high-res master exports are handed over upon full settlement of the remaining project balance.
Standard Invoicing & Payment Sequence
To maintain accurate accounting records, prevent unnecessary invoice cancellations, and ensure complete transparency before any transaction, Docdril adheres to a structured five-step workflow:
- Discovery & Scope Definition: Thorough discussion of client requirements, deliverables, specifications, and delivery schedules.
- Clear Mutual Understanding: Both parties agree on deliverables, pricing framework, and timelines before any payment is initiated.
- Pro Forma Invoice Issuance: Docdril issues a detailed pro forma invoice reflecting the agreed advance or full commitment.
- Payment Settlement: Client remits payment through verified, team-authorized transaction channels.
- Final Invoice Delivery: Docdril generates and issues the applicable final invoice bearing its distinct serial number and settlement details following applicable commercial requirements.
Pipeline Admission & Operational Prerequisites
No project, sprint queue, or deliverable is admitted into active production pipelines or assigned specialist bandwidth unless it is officially recognized and verified with confirmed settlement of the required advance or sprint invoice, alongside full handover of all necessary project assets, credentials, and briefs.
Our studio operates continuously and exclusively on funded, verified pipelines. Docdril does not entertain, execute, or initiate unpaid speculative work or unconfirmed projects under any circumstances, and bears zero responsibility or liability for timeline postponements resulting from unfulfilled payment obligations or missing client inputs. Where an asset dependency or communication delay arises from the client side, Docdril proactively notifies the client prior to placing the project ticket on formal operational hold.
Tax Compliance, Invoicing & Foreign Currency
Every transaction generates an official, itemized commercial invoice. Tax applicability is structured strictly in adherence to territorial tax jurisdictions:
- Domestic Clients (India): Invoices issued to Indian clients and businesses are denominated in INR, itemizing applicable taxes and fees in compliance with statutory Indian business requirements. Itemized invoices are supplied for commercial accounting and tax records.
- International Clients (US, UK, EU, Global): Billed in USD (or EUR/GBP as contractually specified) reflecting cross-border professional creative and technical services.
- Intermediary & FX Banking Fees: All invoices reflect the net amount due to Docdril. Any intermediary bank wire fees, SWIFT routing deductions, or foreign exchange currency conversion fees levied by the sender’s bank remain the responsibility of the client.
Grace Periods & Account Continuation
Invoices are due upon receipt or within 5 business days of issue. In the rare event of an expired card or transient banking delay on recurring retainers, Docdril grants a 3 to 5 business day grace period to update payment details without immediate service disruption.
If payment remains unresolved beyond the grace period, active sprints and engineering tickets are temporarily paused. All project progress, staging environments, and source files remain safely intact and are instantly resumed once settlement is confirmed.
Billing Inquiries & Dispute Resolution
We believe in straightforward, transparent commercial communication. Clients agree to notify Docdril directly at info@docdril.com or via their dedicated communication channel regarding any suspected billing discrepancies or questions before initiating third-party bank disputes or chargebacks.
Legitimate billing inquiries (such as inadvertent duplicate charges) are prioritized and rectified within 24 to 48 business hours. For questions regarding project cancellations or milestone adjustments, please reference our established Refund Policy.
Agreement & Finality
By initiating payments through any Docdril-provided channel, submitting sprint deposits, or signing a statement of work, you acknowledge and agree to be bound by the terms detailed in this Payment Policy, alongside our Terms of Service and Refund Policy.
